Arranging Your Filing Cabinets


If you plan on organizing your files, documents and data, filing cabinets are one of the safest and the most convenient places to store all of these important materials. It is of course essential to organize your files neatly inside the cabinet and not just dump everything inside.




Initially, you need a filing cabinet with efficient shelving units, filling accessories and folders in various sizes, color and designs needed for your filing needs. After you procure materials for your project, ready your files to be stored.


In arranging your files, place them in a uniform manner. It is advisable to arrange files according to alphabetical order for easy access. You may opt to have your own way of organizing your own files but it can be a hassle when you need someone to get files for you. Use labels wisely, color code very important documents and make sure you have the legend for each color code with you.


A good filing cabinet will most likely have separate shelving, opt to place old files on the bottom most shelf while newer files should be in the middle or on the top for easy access. Leave more room for future files and reserve filing materials and accessories for these.




After all the files are arranged, secure the cabinet with a lock. Most filing cabinets have keys that come with duplicate copies, hide copies in a secure place and preferably one copy anywhere INSIDE the cabinet itself.


The only way to keep a cabinet organized is to replace the files back to where they were placed. Do not let them pile up in a separate place, always find time to reorganize everything and never let files pile up. When files go out of date or have become obsolete, replace or archive them as soon as you can. Very important files must be backed up and copied in a computer’s hard drive for a more secure filing system.


Since filing cabinets are filled with flammable paper, opt to store important documents in fire- proof and tamperproof filing systems instead of ordinary wooden, aluminum or plastic cabinets. Regarding security of your documents, you may either choose a cabinet with its own built in locking mechanism or go for a cabinet with a customizable lock.


Finally filing cabinets need to be cleaned from time to time. Choose a cabinet with a smooth finish that will never fade no matter what cleaning agent that you will use to keep it clean and in tip top shape for years to come.
